About Us
I am Anne-Marie, owner of PixelBot. I am creative and pay attention to the finer details. I love working with couples creating beautiful and unique photo card templates and backdrops for their photo booth. I believe Photo booths should blend in and enhance a wedding theme. They are at the heart of the entertainment and should capture beautiful, fun photos creating everlasting memories.
At Pixelbot, we have a choice of enclosed and open-air booth experiences. We will work with you to make your photo booth experience as unique as yourself. Once you have booked us you will not have to worry about a thing. We will liaise with you, your venue, and any other parties to create a plan for the day. On the day, you will have two members of our team who will stay for the duration of the booking so you can enjoy your day and not worry about a thing. They will engage with your guests encouraging everyone to use the booth and have fun.
We have top of the range equipment, with high-quality DSLR cameras to capture those important photos. Our printer is a dye-sublimation printer for a fast and professional print. All photos we take on the night will be safely stored on our secure and password protected cloud platform. On top of this, we offer a free upload service, allowing you and your guests to upload photos taken at the event by personal mobile phones. This allows all everlasting memories from the night to be stored in one single location.
PixelBot is fully insured with public liability insurance of up to £1 million.
And all of our equipment is PAT tested.

Terms & Conditions
TERMS & CONDITIONS
- This contract reflects the verbal agreement. It shall include any terms agreed prior to its issue. It shall be deemed un-accepted unless the booking form and retainer reservation fee is received by PixelBot within 7 working days of the issuing date. Please Note: by completing and sending this booking form, you agree that you are making a confirmed booking and entering into a contract which carries your acceptance, in full, of the booking terms.
- Payment: Financial settlement of the remaining balance to be paid in full 7 days before the agreed date of booking.
- Reservation fee: you agree to our reservation fee which is payable in advance to secure your booking. The reservation fee is deducted from the price quoted.
- Your booking is not confirmed until you receive a booking confirmation letter or email from us.
- Overtime Charge: Any extension to the agreed timescale will be charged in addition to the booking fee per hour, thereafter, which shall be payable in advance in cash before the commencement of the extension. Overtime rates will be charged at £50.00 per full hour before 5 pm or £75.00 per full hour after 5 pm
- The Client shall have the right to cancel the booking by serving upon PixelBot not less than 14 clear days’ notice in writing. In the event of the client wishing to cancel this contract agreement for any reason other than Act of God or National Disaster, any advance reservation payment will be forfeited.
- A cancellation fee of not less than 50% of the agreed fee will be due if the cancellation is within seven days of the booking.
- PixelBot will not be liable for failing to attend a booking, where the reason for non-attendance or late arrival is caused by adverse weather conditions (including Snow & Flooding), road closure, road traffic accident, vehicle breakdown, fuel shortages, acts of terrorism, industrial action, or other unavoidable circumstances deemed beyond our control.
- The hirer will appreciate that suitable time for venue access, safe installation and dismantling and safe removal of equipment from the venue is required in addition to Booth time. Therefore, the hirer and venue will allow suitable time for the installation and dismantling and removal of the photo booth equipment (up to 60 minutes each side of the booking times). Please note: PixelBot shall not be liable for any additional charges levied to the client by the venue in relation to equipment assembly/removal timescales.
- The hirer will ensure that safe and adequate power is available for photo booth equipment and that a minimum of 2x 13A power sockets are located within 10 Metres of the allocated area.
- Where the venue flooring is uneven or unstable or minors at the venue behave in a manner thereby causing adjustments to the equipment needed, PixelBot cannot be held responsible for any loss in time caused and this time will not be added on at the end. The client (or parent) is responsible for the behaviour of any minors and should ensure appropriate supervision and action is taken to ensure PixelBot equipment is not touched or interfered with which could cause a malfunction or damage.
- Only photos taken on the date of the booking will be permitted to be uploaded to the PixelBot cloud unless otherwise agreed beforehand. PixelBot will not be responsible for the loss of any photos that have been uploaded outside the terms agreed.
- The photo upload link will only be active for two weeks following the date of the booking.
- Digital copies of the images taken and uploaded on the date of your event will be stored on our cloud service. The hirer has the right to ask for these to be removed at any point. PixelBot has the right to delete photos 12 months from the date of your event. We will endeavour to contact you on the email and or contact number provided to us before deleting any photos.
- The hire ensures that they have verified venue power sources are electrically safe and conform to the HSE EAW Act 1989, and amendments thereafter. Copies of venue Electrical Installation Safety Certificate (Periodic Inspection Report to NIC EIC standards) must be made available upon request by the venue under LAW.
- PixelBot shall be in no way liable for breach of by-laws or conditions under which the venue is leased, hired or entrusted to the venue management.
- The hirer will notify PixelBot that all appropriate licences as required by law are in force at the time of booking.
- The hirer agrees to provide adequate supervision of guests and will ensure that venue management adequately supervises customers and/or staff on-site premises. Please note: Where the function may include guests under the age of 16 years, the client, (or parent) is responsible for the behaviour and safety of any minors attending the venue. The client will provide and maintain adequate adult supervision at all times PixelBot will not be liable for the supervision of minors.
- No food, drink, smoking or vaping is permitted in the booth at any time.
- Unwarranted Abuse or threatening behaviour from hirer’s guests or venue management or venue staff will not be tolerated and will result in the booking being terminated with no loss to PixelBot.
- The hirer agrees that compensation for any loss of or damage to PixelBots equipment, vehicle(s) or personal belongings caused by hirer’s guests, venue customers and or venue staff may be sought including any additional costs.
- The hirer agrees that the confirmed start and finish times as specified in the contract are accurate and correct. Any extension beyond the confirmed finish time is at the discretion of PixelBot and the management of the venue.
- In the event that PixelBot is not ready to commence at the agreed time due to our fault, then we will still give you the agreed hire period by extending the finishing time of the hire (venue permitting). In the event that the hire does not start at the agreed time, as setup has been delayed due to any unforeseen circumstances that are no fault of PixelBot, then the hire will still end as per the agreed time on the booking form.
- Where the client requests that PixelBot set up at an earlier time prior to the actual start of the function, the client acknowledges that an idle time charge may be made for this additional service and that this service will be subject to availability. In addition to any previously agreed charges, if PixelBot should arrive at the client’s venue at any earlier, pre-arranged time, and are unable to access the venue to set up the equipment or are prevented from doing so by the venue management, then the client shall be charged idle time at the hourly rate discretion of PixelBot which must be settled in full before the start time.
- PixelBot will not be liable for any refund, in part or whole, where ‘we’ are late accessing the venue and setting up purely because of earlier events over-running, or where ‘we’ are prevented from accessing, setting up or providing our professional services by the venue management. Neither will PixelBot be obligated to provide an extension to the agreed timescale on a pro-rata basis in these circumstances.
- Where the venue does not have its own parking facilities, PixelBot reserves the right to pass on any additional parking fees for a refund by the hirer. Please note: that in accordance with Health and Safety laws, PixelBot will refuse to work at venues where illegal or hazardous parking is required in order to unload the vehicle. This also applies to general health and safety concerns within the venue such as navigating cluttered or unlit stairways and exits.
- Where PixelBot is expected to work alongside other entertainment it is the client’s responsibility to ensure that adequate space exists within the venue for both entertainers to set up their equipment and that separate power outlets exist.
- PixelBot will provide Public Liability insurance cover of £1 Million pounds.
- Where the event is being held in a marquee, the hirer will ensure that the work area is dry and that a minimum of 2x 13A power sockets are located within 10 Metres of this area. Please note: Bad Weather or impending bad weather on the day will not allow PixelBot to commence entertainment out-doors under any circumstances. PixelBot accepts no responsibility for damage to electrical equipment if caused as a result of working in inappropriate weather conditions.
- The photo booth will not be moved to another location once set up.
- PixelBot reserves the right to refuse guests admission into the photo booth if deemed they are too unruly.
- In signing the contract, I agree that I have read the Terms and Conditions of hire and acknowledge booking details contained herein are correct.

Your photos are important to us, that is why we store all photos on our secure PixelBot Cloud for you to view, download, and save whenever you want. All photo cards and individual photos will be stored here. We are currently offering an additional free service where your guests can upload photos taken on their devices at the event to our cloud.
As our booth is custom-built, we have been able to build it to house only the best equipment, from our DSLR camera to our dye-sublimation printer, for fast prints and high-quality photos.

We collect your data when you complete our contact forms on our website, through telephone enquiry, emails, in person and direct messaging facilities on our social media platforms.
If you contact us, we may keep a record of that correspondence.
We may also ask you to complete a review survey.
IP addresses We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual.
We use your personal data to ensure the services we deliver are suitable and appropriate and any data collected is only used to inform, administer and deliver those services.

All information you provide to us is stored on our secure servers. You are responsible for keeping your password confidential to view your photos. We ask you not to share a password with anyone unless you trust them to have it.

Our client photo galleries are hosted by smugmug and their privacy can be found using the following link: https//www.smugmug.com/about/privacy
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our Site and any transmission is therefore at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
Whenever we collect or process your personal data, we’ll only keep it for as long as it is necessary for the purpose for which it was collected. At the end of the retention period, your data will either be deleted completely or anonymised.
Your photos will be stored on our PixelBot Cloud for the duration of 1 year. A Formal agreement with the customer will be required to extend this feature.
We do not share personal data with any third parties unless advise by yourself. If PixelBot or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers and/or held on behalf of its customers may be one of the transferred assets.
If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms and conditions or other agreements; or to protect the rights, property, or safety of PixelBot, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.
Cookies are small text files that are placed on your computer or mobile phone when you browse websites. We use cookies on our Site to remember your settings during and between visits, improve our Site and allow you to share pages with social networks like Twitter, Facebook and Instagram. The collection of images is a necessary part of the service that PixelBot provides. These images are collected and stored via the Photo Booth hardware and software which is encrypted and may sometimes be provided on USB stick which is also encrypted. Photos are also uploaded to a password protected cloud-based photo gallery.
The GDPR provides the following rights for individuals:

- The right to erasure
- The right to restrict processing
- The right to data portability
- The right to object
- Rights in relation to automated decision making and profiling
The Data Protection Act 1998 gives you the right to access information held about you. Your right of access can be exercised in accordance with that Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you. We will also require proof of identity before any information is divulged. If at any point you believe the information, we process on you is incorrect you can request can to have it corrected or deleted. Where a request to “Be forgotten “is made that can only be complied with if there are no other legal frameworks that overrule GDPR. Examples would be HMRC, FCA, etc.
